Yoga Retreat Terms + Conditions 

By booking your retreat with LTCO Ltd, you are agreeing to the Terms and Conditions stated below. 

The Terms and Conditions may be updated at any time. The participant agrees to be bound by any future amendments made to the Terms and Conditions. The participant can review the most current version of the Terms and conditions at any time by accessing the “Terms and Conditions” link on the retreat product page.

Referred to herein as “Participant”, jointly referred to as “parties” or individually as “party”.  Whereas, LTCO Ltd offers retreats with a purpose and Participant wish to purchase such retreats.

In consideration of the mutual covenants contained in this agreement, and other good and valuable consideration, the receipt and sufficiency of which is hereby acknowledged, the parties agree as follows:

 

1.0  TERM

The term of these terms and conditions  commences upon purchasing the retreat and expires at the end of the final day of the retreat, unless terminated earlier by either party.

 

2.0 PAYMENT

To secure your place on the retreat a non-refundable deposit of £200 is required at the time of booking.

2.1 The remaining balance can be paid in full, quarterly instalments or through a personal payment plan. The way in which the Participant chooses to pay must be confirmed in writing with a member of the team once their deposit has been paid.

2.2 All Participants must have paid the full balance by the 15/04/2025 (two calendar months prior to the start of the retreat).

2.3 Failure to settle the remaining balance will result in automatic breach of this agreement by the Participant. Any payments made by the Participant will be forfeited and will result in the loss of your space.

 

3.0 CANCELLATION 

All requests for cancellation by the Participant must be submitted in writing, via email to the following address: info@laura-thomas.com

Cancellations are not considered effective until an acknowledgement of the cancellation has been made by LTCO Ltd. 

3.1 Requests for cancellation received up to and including 15th December 2024 shall forfeit the non-refundable deposit amount stated of £200. 

3.2 A 50% refund will be granted from requests for cancellation received between 16th December 2024 – 15th February 2025. The £200 non-refundable deposit will not be included. 

3.3 A 35% refund will be granted from requests for cancellation received between 16th February to 15th April 2025. The £200 non-refundable deposit will not be included. 

3.4 Requests for cancellation received between 16th April 2025 and the Retreat start date of 15th June 2025 will not be refunded.

3.5 Any payments that are missed by the due date will incur a £25 late fee added to the invoice. Any payments not made within 14 days of the due date may incur the forfeit of the Participants space on the retreat.

3.6 Payment Plans. If a personal payment plan has been agreed then instalments will be calculated by counting the number of calendar months that fall between the receipt of your deposit and 2 calendar months prior to the retreat start date. The final instalment will be due two calendar months before the retreat start date.

 

LTCO Ltd is not responsible or liable for any cancellations due to weather or travel conditions, including, but not limited to the following:

  • Any changes or delays in air schedules, missed airline or other carrier connections, or other services, local transportation, missed flights, missed or cancelled buses or trains, cancelled flights;
  • Injury, loss, illness or damage to persons or property, including luggage and sponsored gift items;
  • Additional expenses resulting from changes in exchange rates, tariffs, visas, vaccinations or schedule change;
  • Defect in any vehicle or the act or default of any company or person engaged in conveying the Retreat Participants, or in carrying out the arrangements of the Retreat, or otherwise;
  • Additional expenses incurred or due to including but not limited to: sudden sickness, weather conditions, strikes, or other causes; or losses due to cancellations.
  • Cancellations due to, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disaster, technical problems to transport, staff cancellations, unforeseen changes in Participants personal circumstances or other events beyond our control.

 

4.0 THIRD PARTY VENDORS

Third party vendors may be contracted to provide lodging, transportation, catering, meals, and/or other services. Participant understands and acknowledges LTCO Ltd is not responsible for the actions or negligence of such third party vendors. Any claim Participant may have against third party vendors shall be initiated against the third party and not LTCO Ltd.

 

5.0 FORCE MAJEURE

We hold the right to replace the retreat teacher (yoga teacher) in case of illness, sickness or any other emergency or force majeure reason. No refund applies in this case.

 

6.0 DAMAGE

In the event that the Participant damages the property and/or the possessions and items within the property, the participant must pay for the damage costs. LTCO Ltd is not responsible for the damage made to or within the property by such Participant and therefore will not pay for the damage. The Participant must pay damage costs to the property owner directly.

 

7.0 RIGHT TO REFUSE SERVICE

LTCO Ltd reserves the right to accept, decline, or retain any person as a participant at the Retreat at any time without liability and without any obligation to pay a refund or any other amount whatsoever. In maintaining the purpose and objective of the yoga Retreat, LTCO Ltd may decline Participant from taking part of the Retreat if Participant displays violent behaviour, including, but not limited to language and/or actions. LTCO Ltd is not responsible or liable for any participant who leaves the Retreat prior to its conclusion or for any activity undertaken by the Participant that is not part of the Retreat.

 

8.0 INSURANCE

Participants are strongly advised to obtain travel, medical, accident, cancellation, and baggage insurance independently, especially if travelling from abroad. LTCO Ltd will not provide Participant with any insurance aforementioned and it is the sole responsibility of Participant to obtain.

 

9.0 LIMITATION OF LIABILITY

Participants acknowledge that during a retreat you participate voluntarily in any and all activities arranged by LTCO Ltd, and insofar as legally permissible.

9.1 Participants hereby agree to be responsible for their own welfare and accept any and all risks of delay, unanticipated events, inconveniences, illnesses, injuries, emotional trauma or death. 

9.2 Participants hereby certify that they are physically fit and have not been advised to not participate, by any means or in any manner, in any activity arranged by LTCO Ltd.

9.3 Participants hereby certify that there are no health-related reasons or problems which preclude your participation in any and all activities arranged by the retreat hosts.

9.4 Participant hereby waives, releases and discharges from and against any and all liability from your participation in the retreat. And in any and all activities arranged by the retreat hosts, including but not limited to, liability arising from the negligence or fault of LTCO Ltd and/or its employees and/or its collaborators and/or its subcontractors, for your death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to you including your trip to and from activities arranged by the retreat hosts. Participant agrees that this release shall be legally binding upon that Participant, or Participant’s family members, might suffer during or after the retreat. 

9.5 LTCO Ltd accepts responsibility for ensuring that the retreats are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard.

9.6 LTCO Ltd is not liable for any injuries Participants may incur. Yoga classes, swims, paddle boarding and other activities are undertaken at your own risk. LTCO Ltd are not liable for any medical or psychiatric conditions, which may develop during or subsequent to the retreat. LTCO Ltd are not liable for loss of, or damage to, your personal property.

 

10.0 PUBLICATION RELEASE

Participant hereby grants LTCO Ltd the right and permission to use photos and videos in which you are featured and were taken during the retreat. We hold the right to use this material for advertising and promotional purposes. You hereby release and discharge LTCO Ltd from any claims and demands arising out of the use of the photographs and footage, without limitation of any and all claims for libel or invasion of privacy.

 

11.0 TRAVEL 

All travel arrangements to and from the retreat are the responsibility of the Participant and at the Participants own cost. LTCO Ltd will not be held liable for any consequences arising from delays or cancellations in any of the companies you may have made arrangements with, or for any irregularities in your documentation required for travel. Transfers to/from the retreat are at Participant own cost, unless otherwise specified.

 

12.0 DATA PROTECTION

Information about you or members of your party, including your names, contact and details and any special needs, disabilities, dietary requirements collected by us when you request information or make a booking with us. We may disclose this information to our service for the purpose of providing you with your retreat arrangements. Only information necessary for this purpose will be disclosed to them. On occasions, it may be mandatory for us to disclose information for security and terrorism purposes and any other purpose imposed upon us by governments or other regulatory authorities. We may use your information for the purposes set out in our Data Protection Registration with the Office of the Information Commissioner. We may disclose this information to companies which act as data processors on our behalf. Some information, for example relating to your religion or health, may be “sensitive personal data” within the meaning of the Data Protection Act 1998. We need this information to cater for your needs, but it is collected on condition that we have your positive consent. If you do not agree with our use of your information, we cannot accept your booking. By making a booking with us, you agree to allow your insurers, their agents and medical staff to disclose relevant information to us in circumstances where we may need to act in the interests of everyone in the group with whom you are travelling.

 

13.0 GIFT VOUCHERS

Gift Vouchers are not redeemable against LTCO Ltd Retreats.

 

14.0 GROUP OR GIFTED  BOOKINGS

Where a booking is made on behalf of several individuals the booking is conditional on the person(s) paying having authorization from all the individuals named on the booking form to enter into this contract. The terms of this contract will apply to each member of the group as though they had paid for their own retreat individually and directly to us.

 

15.0 HEALTH 

15.1 It is the Participants responsibility to let the Yoga Teacher know if you have any injuries and to be mindful at all times of their own body’s capabilities during the retreat. If Participant experiences any injury or discomfort during any activity during the retreat, then they must desist immediately.

15.1 It is the Participants responsibility to consult a doctor with an understanding of yoga to check that they are sufficiently fit and healthy to undertake yoga classes and other physical activities that may be chosen whilst on the retreat.

15.2 Please advise LTCO Ltd and the group leader of any mental or physical health conditions, allergies and dietary requirements before you book. If you have health conditions and dietary requirements that may be affected by the activities offered on our retreats we reserve the right to advise you to desist and in the interests of your health, or others, we may decline your stay at our retreats. If you do not give us full details of your medical problem or disability we can also cancel the booking when we find out full details if in our reasonable opinion, the holiday arrangements are not suitable or you are not travelling with someone who can provide all assistance reasonably required.

15.3 Whilst all measures are taken to ensure a high standard of health and safety, we are situated in the countryside where the land is uneven and we shall not be responsible for any injuries caused by uneven terrain.

15.4 At this time we cannot accept pregnant women on retreat with us.

 

16.0 EXCURSIONS, WORKSHOPS AND ACTIVITIES

Excursions, tours or other activities that you book or pay for whilst on your trip do not form part of the trip provided by us or the Supplier/Provider. Your contract will be with the operator or provider of that excursion, workshop or activity and not with us. We are not responsible for the provision of the excursion, tour or activity or anything that may happen during the course of its provision by the operator. We do not accept any liability in relation to any such excursion, tour or activity and these Booking Conditions do not apply to them.
